Job Role and Description
Dyco is seeking a positive and energetic Sales Administrator to support our Sales Team.  This individual must be driven and eager to work in a fast paced team environment.  This position assists our Sales Team with projects and customer relationships as we work to win business.  This includes taking incoming calls from customers, documenting communications in our CRM software, packing quotations and/or otherwise supporting the Sales Team as needed on a case-by-case basis.  This position is based out of our headquarters in Bloomsburg, PA.
  • Take incoming calls to the Sales Department, acting as the first line of contact with new and existing customers
    • Answer incoming customer calls
    • Request and obtain initial product/scope information
    • If quick quotes apply, sending those quotes out the same day.
  • Enter “Opportunities” and supporting information in our CRM software for the sales team
    • Check with Sales Team daily for opportunities which need to be entered
    • Post entries from Daily Reports into our CRM software every morning
      • Discuss questions regarding same with Sales Team to ensure accuracy
  • “Package” quotations, creating pdf files, using checklists and following procedures for accuracy and quality.
    • Provide quotation packages in accordance with deadlines and timeframes
    • Package & create Spare Parts quotes when required.
  • Support the Sales Team in processing orders.
    • Completing “order forms” for P.O.’s received
      • Complete supporting checklists and details to maintain consistency in quality.
    • Schedule, conduct and record notes on order kickoff calls
    • Follow up on open items from order kickoff calls as needed
  • Schedule, coordinate, prepare and host customer visits and Factory Acceptance Tests
    • Complete customer visit forms and checklists for quality
    • Schedule meetings for, record notes, details and agenda’s for customer visits
    • Ensure meeting rooms are appropriately stocked for visits at all times
    • Communicate customer visit schedules with appropriate personnel throughout the company.
  • Update CRM Contacts, Accounts, Competitors, CRM Today etc. with information provided to you or from information gathered.
  • Run Reports necessary to create the base data for the Monthly Sales Report.
    • Example: won/lost/inactive opportunity amounts & Campaign call completion data
    • Populate data in the Sales report accurately
  • Continually analyze and improve QMS processes, procedures, flow charts, and forms.
    • If modifications of processes and/or checklists are necessary for clarification, quality or improvement, make and submit modifications for approval.
  • Develop customer relationships with Sales team.
  • Manage multiple projects based on time sensitivity and available team workload capacity.
  • Prioritize work based upon the different timing demands of each project
  • Other special projects or duties as assigned.

  • Excellent time management, planning and organizational skills
  • Ability to follow and enhance current Quality Management System processes and procedures.
  • Proficiency in Microsoft Windows, and Microsoft Office Suite

  • Associates Degree Business or related field
  • 0-5 years of experience
